Event Member Settings: Sales Quotas and Targets

Set member sales quotas on Seaty: assign ticket targets per member type, track progress on the Balances screen, and monitor individual sales performance.

Overview

The Member Settings section helps organisations track how many tickets each member sells for an event. It connects your member types (created at organisation level) with specific sales targets for this event.

At its simplest, Member Settings answers one question: How many tickets should each type of member sell for this event?

Who uses this: Organisation admins who have memberships enabled and want to track individual sales performance.

Key capabilities:

  • Set sales quotas per member type for this specific event
  • Track progress against quotas in the Balances screen
  • View visual progress indicators showing who is meeting their targets

How It Works

At a glance: You assign a quota number to each member type, then track progress in Orders & Payments.

1. Enable memberships at organisation level

Before you see Member Settings in the event editor, you must enable memberships in your Organisation Editor under Membership settings. From there, use the Manage Members button to access the Members section where you create member types and add individual members.

2. Set quotas for each member type

In the event's Member Settings section, each member type from your organisation appears with a quota field. Enter the number of tickets you expect members of that type to sell for this event.

3. Track progress in Balances

As members request and sell tickets, the Orders & Payments screen shows their progress. Each member's row displays their quota, tickets sold, and a visual progress bar.


Think of it this way:

  • Organisation membership settings control who can be a member and how requests work
  • Event quota settings set the sales target for this specific event
  • Balances screen shows real-time progress against those targets

Setting Quotas

For each member type in your organisation, you can set a quota:

  • Enter a number (up to 5 digits) for the expected ticket sales
  • Leave blank or enter 0 for no quota requirement
  • Different events can have different quotas for the same member type

Note: Quotas are tracking tools, not enforcement mechanisms. Members can still request tickets even if they exceed their quota. Your organisation decides how to handle quota achievement or non-achievement.

Strategic Considerations

Event-specific targets:

  • Popular shows might warrant higher quotas
  • Smaller productions may need lower expectations
  • Holiday performances often see increased family ticket sales

Member type variations:

  • Leadership roles often have higher quotas (15-25 tickets)
  • Standard members have moderate quotas (8-12 tickets)
  • New or youth members typically have lower quotas (3-5 tickets)

Viewing Progress

The Balances tab in Orders & Payments shows quota progress:

What you see for each member:

  • Member name and member type
  • Quota progress displayed as "Quota 7 / 10" or "10 Quota Complete"
  • Visual progress bar (changes colour based on progress)
  • Tickets sold and balance owed

Progress bar colours:

  • Green when quota is complete
  • Amber when 50% or more complete
  • Red when below 50%

Common Questions

Visibility and Access

Why don't I see the Member Settings section?

The section only appears if memberships are enabled for your organisation. Enable memberships in your Organisation Editor under Membership settings.

How do members know their quota?

Members can view their progress in their personal dashboard. You may also want to communicate expectations directly to your members.

Quota Behaviour

Can I have different quotas for different events?

Yes. Each event has its own quota settings. You can set higher quotas for popular shows and lower quotas for smaller productions.

Can I change quotas after the event starts?

Yes, you can update quotas at any time. Current sales remain unchanged; the new target applies going forward.

What happens if a member doesn't meet their quota?

Nothing automatic. Quotas help you identify who needs support or recognition. Your organisation decides how to handle non-achievement.

Member Requests

How do members request tickets?

Members with requesting privileges select their tickets, then choose to request rather than pay immediately. The request appears in your Balances section.

Can non-members purchase tickets?

Yes, unless you enable member-only requesting in your organisation settings. Even then, non-members can still purchase with immediate payment.

Tracking and Reporting

How do I track individual member sales?

Use the Balances tab in Orders & Payments. You can view tickets sold, balance owed, and quota progress per member. This data can be exported to a spreadsheet.

Can committee members have higher quotas?

Yes. Create different member types with different quota expectations. Each member is assigned a type and inherits that type's quota for the event.
