File Management Overview
The Seaty mobile app lets you store and access all your event files directly on your device. Whether you need scripts backstage, sheet music on stage, or promotional materials at the venue entrance, your files are always available - even without internet.
At its simplest, file management answers one question: How do I access my event files when I need them most?
Who uses this: Event organisers, production managers, and venue staff who need reliable access to documents, images, audio, and video during events.

How It Works
At a glance: Connect your cloud storage, download the files you need, and access them anytime - even offline.
1. Browse your files
Open the Files section for any event or organisation. You will see all your folders and files from cloud storage, organised exactly as you arranged them. Thumbnail previews appear for images and documents, so you can find what you need quickly.
2. Download for offline access
Tap any file to download it to your device. A progress indicator shows how long remains. You can queue multiple files - the app downloads up to three at once, processing the rest as each completes.
Why three at a time? This balances speed with reliability. Too many simultaneous downloads can slow each one down or cause failures on mobile connections.
3. Access files anywhere
Downloaded files show a checkmark icon. Tap them to open instantly, regardless of your internet connection. Perfect for backstage, in rehearsal rooms, or at outdoor venues with poor signal.
4. Manage your storage
Check your device storage from the Files section. Remove downloaded files you no longer need to free up space. The app shows which files take the most room.
Think of it this way:
- Cloud storage is your complete library at home
- Downloaded files are the books you brought in your bag
- File management helps you choose what to pack and what to leave behind
Working with Different File Types
Documents and images
PDFs, Word documents, spreadsheets, and images all work the same way. Download them once and view them anytime. Images show small previews in file lists so you can spot the right one without opening each file.
Audio files
Audio files display song information (title, artist, album) when available. Add bookmarks to mark specific moments - useful for cue points in backing tracks or key sections in rehearsal recordings.
Video files
Videos play directly in the app. Like audio, you can add bookmarks to jump to specific moments. Downloaded videos work offline, though they use more storage space than other file types.
File Organisation
Files are kept separate for each event and organisation:
- Event files stay with that event only
- Organisation files are available across all events for that organisation
- Downloaded files from one event do not affect another
Why separate storage? This prevents accidental mix-ups between events and makes cleanup straightforward when an event ends.
Offline Mode
When you lose internet connection:
- Downloaded files continue working normally
- You can play audio, view documents, and watch videos
- File lists show which items are downloaded (checkmark) versus cloud-only
- New downloads wait until connection returns
The app automatically resumes interrupted downloads when you reconnect.
Common Questions
Downloads
How much storage do downloaded files use? Each file uses roughly the same space as the original. Check the Files section to see total storage used and which files are largest.
Can I download entire folders at once? Yes. Tap the download button on any folder to queue all files inside it.
What happens if a download fails? The app retries automatically. If it continues failing, check your internet connection and try again.
Access
Who can see my files? Only people with access to that event or organisation. Event admins see admin-only files; members see member files.
Can I upload files from the app? File uploads are managed through the web dashboard. The mobile app focuses on accessing and viewing files.
Storage
What if my device runs out of space? The app warns you before storage becomes critically low. Remove downloaded files you no longer need, starting with the largest ones.
Do thumbnails use storage? Thumbnails are small and cached temporarily. They use minimal space and are cleared automatically when needed.
