Organisation Details

Set up your organisation's core identity including name, unique tag, website, physical address, box office contact details, marketing integration (Facebook Pixel), and public-facing rich text description. This information appears throughout the platform on event pages, in customer emails, and on invoices.

Organisation Image

Upload and manage your organisation's main image that appears on your organisation page, in search results, and alongside your events. Images must be at least 400 pixels in height and are automatically optimised for web display.

Organisation Theme

Customise your organisation's visual appearance with a custom main colour, header image with padding controls, sparkle effects, and background images. Themes apply to customer-facing dialogs, modals, and emails. Your organisation theme serves as a fallback when events or tours don't have their own theme, following priority: event theme → tour theme → organisation theme.

Stripe Connect

Link your Stripe account to receive payments directly from customers to your own bank account. Stripe Connect must first be enabled for your organisation by contacting Seaty support. When connecting, you agree to assume full responsibility for refunds if events are cancelled. Stripe Connect enables secure online card payments with PCI compliance.

Awards & Recognition

Display awards, accolades, and achievements your organisation has received on your public organisation page. For each award, specify the date received and a description. Awards are purely visual and help build credibility and trust with potential customers by showcasing industry recognition.

Team Permissions

Control who can access your organisation using two management sections: Users (assign team members and their roles) and Roles (create custom permission groups for different responsibilities). The Administrator role grants full access automatically. Define granular permissions across events, orders, finances, and other functions, then assign roles to team members for secure, flexible access control. Organisation owners always retain administrator access.

Membership Settings

Turn on membership functionality to track sales quotas and ticket requests from people in your organisation. Configure whether non-members can request tickets and whether member requests should be automatically accepted. When enabled, you can manage individual members and their quotas from the organisation management area. Useful for theatre groups, societies, and organisations where members sell tickets on behalf of the group.

Scanning Devices

Authorise mobile devices (Android or iOS) for ticket scanning at events using the Seaty app. Each device requires an alias (name) and unique passcode for secure access. Device logins have restricted permissions - they can scan tickets but cannot access full event details or administrative functions, making them ideal for door staff and volunteers who only need entry validation capabilities.

Personnel Groups

Define organisation-wide personnel groups (cast lists, crew teams, staff rosters) that can be reused across multiple events. Each group contains individual people with their name, role, description, and optional photo. Create templates for permanent staff, regular volunteers, touring cast members, and venue teams once at the organisation level, then reference them in events without recreation. Personnel groups appear on public event pages to showcase your team.

File Management

Share documents, forms, and resources with your organisation through Dropbox integration. Set up separate file connections for administrators and members (when memberships enabled), organise files in folders, preview supported file types, and provide secure access via both website and mobile app. Files shared at organisation level can be referenced across multiple events.

Donations & Gift Aid

Allow customers to make optional donations when purchasing tickets (available to all organisations). If you're a registered UK charity with HMRC recognition, you can enable Gift Aid to increase donation value by 25%. Configure your charity details including regulator (Charity Commission, OSCR, or CCNI), registration number, HMRC reference, and registered address. Important: Gift Aid applies only to donations, not ticket sales, and requires proper validation and record-keeping.

Event Details

Configure your event's fundamental information including name, unique event tag (Seaty.co.uk/YourTag), event type, go-live date, privacy settings, event description, terms & conditions, additional email information sent with tickets, and timezone. This is the first section you'll complete when setting up an event.

Dates & Times

Schedule all event performances and manage show times using list view or week view. Configure single times, time ranges, day ranges, or all-day events. Add accessibility indicators, additional information, and external event links for specific dates.

Venue Setup

Configure venue location, address, and essential information including venue name, street address, city, and postcode. Add AI-powered venue descriptions, directions, car parking instructions, and support for both physical venues and virtual events.

Event Image

Upload and manage posters, thumbnails, and promotional images for your event. Images are automatically processed, optimised, and served via CDN. They appear in search results, on your event page, and when shared on social media.

Event Theme

Customise your event's visual appearance with a custom main colour, header image with padding controls, sparkle effects, and background images. Themes apply to customer-facing dialogs, modals, and emails. Your event theme takes priority over tour and organisation themes.

Venue Maps

Help attendees find your venue with interactive Google Maps and precise location markers using what3words technology. Display an interactive map, set custom zoom levels, add up to 11 different types of location pins for entrances, parking, and facilities.

Ticket Setup

Make one of the most important decisions about your event: whether you need assigned seating with a visual seating plan, general admission entry tickets, or a combination of both. Configure ticketing approach, barcode settings, ticket requests, collection options, admission types, and payment fees.

Seating Plans

Create and manage interactive seating plans with visual seat selection and category management. Design layouts on a grid-based canvas, create seat categories with different pricing, add visual elements like stages and walkways, label seats with automatic numbering, and import existing plans.

Seated Tickets

Configure pricing and availability for reserved seating ticket categories across different seat sections and performance dates. Set prices per seat category, create concession types, configure date-specific availability, manage public vs private tickets, and create flexible pricing structures.

General Admission Tickets

Set up general admission ticket types without assigned seating for events where attendees don't need specific seat assignments. Create multiple ticket categories with different prices sharing a common capacity, configure per-date availability, set multi-person tickets, and manage privacy controls.

Merchandise & Extras

Sell additional items alongside tickets - programmes, drinks, concessions, branded merchandise, or any other products customers collect at your event. Create individual items or item groups sharing quantities, set prices and availability per date, and manage public vs private items.

Discounts

Create promotional discounts and manage discount codes to drive ticket sales. Configure percentage or fixed-amount discounts, set up single or multiple single-use discount codes, apply discounts automatically, set minimum ticket requirements, restrict to specific ticket types, add expiry dates, generate bulk discount codes, and track code usage with order and request integration.

Marketing Tools

Configure marketing tools to promote your event effectively. Collect email marketing consent from attendees, display marketing sign-up widgets on your landing page, enable post-event surveys, integrate Facebook Ads Pixel for conversion tracking, and manage all features whilst maintaining GDPR compliance.

Custom Questions

Gather essential information from attendees during the booking process. Create unlimited custom questions, choose between dropdown lists or free text answers, set questions as required or optional, ask per-order or per-ticket, target specific ticket types, reorder questions, and copy questions between events using the built-in clipboard feature.

Member Settings

Set sales quotas for different member types within your organisation. Track individual member contributions and sales targets, manage balance tracking, configure member-specific benefits, and monitor member performance across events for theatres, performing arts groups, and community organisations.

Personnel Groups

Showcase the people behind your event by creating organised groups with photos, names, and roles. Perfect for displaying cast members in theatrical productions, production teams, crew, volunteers, or event staff. Personnel groups appear on your public event page with AI-powered cast list generation.

File Management

Tour Details

Set up the essential information that defines your tour, including the tour name, unique URL tag, and rich text description. This section controls how your tour appears to customers across the platform.

Tour Image

Add a professional tour image that represents your entire production across all venues. This image appears on the tour landing page, in search results, and when your tour is shared on social media, providing consistent visual branding for your touring production.

Tour Events

Build your tour by selecting from your organisation's existing events. Events are displayed in three groups: those without a tour, those already in this tour, and those in other tours. Each event can only belong to one tour at a time - selecting an event from another tour will automatically remove it from that tour when you save.
