Understanding Order Management

At its simplest, mobile order management answers one question: What does this customer need help with right now?

Who uses this: Event staff (box office, door managers) with appropriate order permissions.

Key capabilities:

  • View complete order details including tickets, payments, and custom question answers
  • Transfer order ownership to different customers
  • Resend order confirmation emails
  • Edit admin and user notes
  • Track referral information and activity logs

How It Works

At a glance: Staff sign in, navigate to the event, search for an order, and take action based on customer needs.

1. Access your event

Sign in with your staff account and navigate to the event you're working. Your permissions determine which actions you can perform on orders.

2. Find the order

Search by customer email, name, or order number. The app displays matching orders with key details visible at a glance.

3. View order details

Open an order to see complete information: tickets purchased, payment status, custom question answers, and activity history. All data syncs in real-time with the web dashboard.

4. Take action

Based on what the customer needs, you can transfer ownership, resend confirmation emails, add notes, or direct them to the web dashboard for actions not available on mobile.

  • Web dashboard handles complex operations like refunds and bulk changes
  • Permissions control what each staff member can see and do

Staff require specific permissions to access order functions:

Common Questions

Permissions

Can I process refunds on mobile? No. Refund processing is only available through the web dashboard. On mobile, you can view refund history but not initiate new refunds.

What if I don't have the right permissions? Speak to your organisation administrator. They can grant specific permissions through the web dashboard without giving full admin access.

Syncing and Updates

Do changes sync immediately? Yes. Any changes you make on mobile appear instantly in the web dashboard, and vice versa.

What happens if I lose connection? You need an active internet connection to search and modify orders. Previously viewed orders may be cached temporarily.

Common Tasks

How do I transfer an order to someone else? Open the order, tap "Transfer ownership", enter the new owner's email address, and confirm. The new owner receives a confirmation email.

Can customers see my admin notes? No. Admin notes are only visible to staff with the appropriate permissions. Customer-visible notes are separate.
