Payments
View payment information and transaction history for orders on your mobile device. Track payments, refunds, and balance status directly from the app.
At its simplest, the payments view answers one question: Has this order been paid?
Who uses this: Event staff with payment viewing permissions.

Note: The mobile app is view-only. To record new payments or process refunds, use the web dashboard.
How It Works
At a glance: Open an order, check the balance status, and review the payment history to understand the full transaction record.
1. Find the order
Search for the order by customer name, email, or order number. The order card shows the current balance status immediately.
2. Check the balance status
The order displays one of three states: fully paid (green), amount owed (orange), or overpaid (red). This tells you instantly whether action is needed.
3. Review payment history
Scroll to the Payments section to see every transaction, with the most recent first. Each entry shows the amount, method, date, and who processed it.
4. Verify details
Tap any payment to see complete information including the exact time, payment method, and links to related records.
Think of it this way:
- Order balance shows the current state - what's owed right now
- Payment history shows the journey - every transaction that led to that balance
- Payment details show the specifics - exactly what happened for one transaction
Payment Types
Online card payments are processed automatically when customers pay on the website. Shows as "Paid with card" with instant confirmation.
Manual payments are recorded by staff for in-person transactions:
- Cash - Physical currency collected at the venue
- Cheque - Bank cheques (allow time for clearing)
- Card in-house - Transactions through your own card terminal
- Bank transfer - Direct bank transfers for larger amounts
Each payment record shows the method, the staff member who recorded it, and the timestamp.
Payment Status Display
The order screen shows balance status with colour-coded labels:
- Green "Paid in full" - No outstanding balance
- Orange amount - Shows how much is still owed
- Red "Balance overpaid" - Customer has paid more than the order total
Note: Displayed amounts are payments towards the organisation's balance and exclude service fees.
Payment List
Each payment in the list shows:
- Amount with currency symbol
- Payment method (card, cash, etc.)
- Customer email
- Date
- Whether it's a payment or refund
Payments appear with a green indicator. Refunds appear with a red indicator. The list shows newest transactions first, and you can search by payment reference or customer email.
Payment Details
Tap any payment to view complete information:
Transaction information:
- Payment reference
- Method description (e.g., "Paid with card", "Refunded with cash")
- Amount with currency symbol
- Date and time in the event's timezone
Related records:
- Event name and organisation
- Attendee name and email
- Link to the order (if applicable)
Balance payments are not linked to a specific order. These are direct payments towards an event balance, commonly used for instalments or deposits.
Permission Requirements
Staff need one of these permissions to view payments:
- Event Feed - View all event payments
- Order Balance Payments - View balance payments
- Event Balances - Access financial information
Customers can only view their own payment history. Device sign-in accounts cannot view payments.
Mobile vs Web Dashboard
On mobile you can:
- View payment lists and individual details
- Search for specific payments
- Check order balances
- Verify payment and refund status
Use the web dashboard to:
- Record new payments
- Process refunds
- Generate financial reports
- Export payment data
- Access card payment provider details
Common Questions
Viewing Payments
Why is the payment list empty? Check that you've selected the correct event and have the necessary permissions. Payments may be recorded against a different event date.
Why won't payment details load? Check your internet connection and verify you have permission to view this payment. Try refreshing the order.
Understanding Amounts
Why does the payment amount look different from what the customer paid? The mobile app shows the amount going to your organisation's balance, which excludes service fees. To see the full amount the customer paid, check the web dashboard.
Can I see the breakdown of fees? Fee breakdowns are available on the web dashboard. The mobile app shows the net amount received by your organisation.
Finding Payments
I can't find a payment - where might it be? The payment might be under a different event or recorded as a balance payment rather than against a specific order. Try searching by customer email, or check the web dashboard which has more search options.
What's a balance payment? Balance payments are applied to an event balance rather than a specific order. They're commonly used for deposits or instalments before tickets are allocated.
