Overview

The organisation feed gives you a complete view of every transaction across all your events in one place. Whether you're reconciling finances, supporting customers, or monitoring sales activity, this is your central hub for organisation-wide transaction management.

At its simplest, the organisation feed answers one question: What transactions have happened across my entire organisation?

Who uses this: Organisation administrators with the Organisation Feed permission.

How It Works

At a glance: Open the organisation feed, filter or search to find what you need, then click any transaction to see full details.

1. Access the feed

Navigate to your organisation and select the Feed section. The feed loads your most recent transactions automatically, showing a batch at a time for faster loading.

Use the filter buttons to narrow down by transaction type (orders, refunds, payments), or type in the search box to find specific customers, emails, or order numbers across all events.

3. Identify the event

Each transaction displays an event tag showing which event it belongs to. This is the key difference from the event feed - you can see orders from multiple events in one view.

4. View details

Click any transaction to open the full order modal, where you can see complete information and take actions based on your permissions.

Think of it this way:

  • Organisation Feed shows everything across all events - use it when you don't know which event
  • Event Feed shows one event only - use it for day-to-day event management
  • Search finds orders by customer details when you don't know which event they purchased from

Feed Display

Each transaction row shows:

  • Amount: The order total in your organisation's currency
  • Type: Transaction category with colour-coded badge
    • Dark Green: Payment transactions
    • Light Green: Admin Orders, Online Orders, Request Orders, and Accepted Requests
    • Yellow/Warning: Pending Requests
    • Red: Refunds, Cancellations, and Refused Requests
    • Grey: Default/other transaction types
  • Order #: Order ID for reference
  • Event: Event tag with # prefix (identifies which event this order is for)
  • Email: Attendee name and email address (failed purchases also show error message)
  • Date: Transaction timestamp in the relevant event's timezone

Filtering by Transaction Type

Use the filter buttons at the top of the feed to narrow down transactions across all events:

  • All: Show all transaction types (default view)
  • Order: All order types (admin, online, and request orders)
  • Payment: Standalone payment transactions (balance payments)
  • Refund: Refund transactions
  • Cancellation: Order cancellations
  • Admin Order: Orders created by administrators
  • Online Order: Successful online customer purchases
  • Accepted Request: Orders from approved ticket requests (if requesting is enabled)
  • Pending Request: Ticket requests awaiting approval (if requesting is enabled)
  • Refused Request: Declined ticket requests (if requesting is enabled)

Click a filter button to activate it. The selected filter will be highlighted, and the feed will update to show only matching transactions across all events. Filter buttons are always visible, even when there are no results, allowing you to switch between categories easily.

Searching Across All Events

The search box below the filter buttons finds orders across your entire organisation:

  1. Type your search term in the search box
  2. Press Enter or click the search button to filter results

The search finds matches in:

  • Attendee names
  • Email addresses
  • Order numbers
  • Any text associated with the transaction
  • All events in your organisation

The search works alongside filters, so you can combine a category filter with a search term to narrow results further across all events.

This is particularly powerful when customers contact you but you don't know which event they're asking about. Search their email and see all their orders across your complete portfolio.

Viewing Order Details

Click on any transaction row to open the full order details modal. The modal shows:

  • Complete order information for that specific event
  • All tickets and seats purchased
  • Payment history and status
  • Attendee information
  • Available management actions
  • Which event the order belongs to

Note: Incomplete online purchases and online balance payment records cannot be clicked as they don't have full order details associated.

Transaction Type Details

Purchase Orders (Online)

These are successful customer purchases made through the public event pages:

  • Paid online with card payment across any of your events
  • Completed checkout process
  • Tickets issued and sent via email
  • Full order details available

Admin Orders

Orders created by event administrators across any event:

  • Created at box office, over the phone, or for any event
  • May be marked as paid or unpaid
  • Can be paid online, in cash, or by invoice
  • Event tag shows which event the order is for

Request Orders

Orders created through the ticket request system:

  • Customer requested tickets (for restricted events)
  • Request was approved by an administrator
  • Converted from request to confirmed order
  • Payment terms set during approval

Refunded Purchases

Orders that have been fully or partially refunded:

  • Original payment has been returned to customer
  • Shows refund transaction across any event
  • Order details still accessible for records
  • May show partial refund amounts

Incomplete Online Purchases

Failed or abandoned payment attempts across all events:

  • Customer started checkout but didn't complete
  • Payment processing failed
  • Card declined or insufficient funds
  • Useful for identifying checkout issues across your event portfolio
  • These entries cannot be clicked (no associated order)

The error message (shown in red below the email address) displays why the purchase failed, which can help with customer support or checkout troubleshooting.

Online Balance Payments

Payments made against outstanding balances:

  • Customer paid remaining balance on a partially-paid order
  • Typically for instalment or deposit systems
  • Shows payment transaction separate from initial order
  • Shows Purchase ID in the # column (not Order ID)
  • These entries cannot be clicked (view the full order instead)

Gift Aid (UK Charities)

Orders with Gift Aid declarations:

  • Gift Aid-enabled orders appear in the organisation feed
  • Customer has opted in to donate tax relief
  • Important for UK charity compliance and reporting
  • Note: Gift Aid filtering is only available at the event level, not organisation level
  • To generate Gift Aid reports across your organisation, access individual event feeds

Empty State

If you see "There are no results available", this means:

  • No transactions match your current search or filter
  • Your organisation has no orders yet across any event
  • Your search term didn't find any matching records

Try adjusting your filters or search term, or check if you're viewing the correct organisation.

Permission-Based Actions

When you click on an order in the feed, the available actions depend on your permissions for that specific event:

  • View Order Details: Requires Order View permission for that event
  • Cancel and Refund: Requires Order Cancel and Refund permission
  • Edit Admin Notes: Requires Order Admin Notes permission
  • Transfer Ownership: Requires Order Transfer Ownership permission
  • Resend Confirmation Email: Requires Order Resend Email permission
  • Mark as Paid: Requires Order Balance Payments permission

Common Workflows

Finding a Customer's Order Across All Events

  1. Navigate to the Organisation Feed section
  2. Type the customer's email or name in the search box
  3. Press Enter to search across all events
  4. Review the Event Tag column to see which event(s) they've ordered from
  5. Click the matching order to view details

Portfolio-Wide Financial Reconciliation

  1. Open the Organisation Feed
  2. Select date range or filter by transaction type
  3. Review transactions across all events
  4. Export or note order numbers for accounting
  5. Cross-reference with statements for complete reconciliation

Monitoring Multi-Event Customers

  1. Search for a customer's email in the organisation feed

Supporting Customers Who Can't Remember the Event

  1. Customer contacts you but doesn't know which event
  2. Search their email in the organisation feed

How Transactions Load

The feed shows your newest transactions first and loads them in batches:

  • Initial view: The most recent 50 transactions appear when you open the feed
  • Load more: Click the "Load More" button at the bottom to see older transactions
  • After searching or filtering: The feed resets and loads fresh results matching your criteria
  • After viewing an order: The feed refreshes automatically when you close the order details

Note: You only see transactions from events you have permission to access within the organisation.

Common Questions

Searching and Finding Orders

Can I search for orders when I don't know which event they're from? Yes. This is one of the main advantages of the organisation feed. Search by customer email or name, and the results will show all their orders with event tags identifying which event each belongs to.

What can I search for? You can search by attendee names, email addresses, order numbers, and any text associated with the transaction. The search works across all events in your organisation.

Can I combine search with filters? Yes. Apply a filter (such as "Refund") and then search - the results will only show matching transactions that also match your filter.

Transaction Types

Why can't I click on some transactions? Incomplete online purchases and balance payment records cannot be clicked because they don't have full order details. For balance payments, find and click the original order instead.

What's the difference between a Purchase Order and an Admin Order? Purchase Orders are made by customers through the public event pages with card payment. Admin Orders are created by administrators at box office, over the phone, or through the admin system.

Where can I filter by Gift Aid? Gift Aid filtering is only available at the individual event level, not in the organisation feed. To generate Gift Aid reports, visit each event's feed separately or use Reporting & Data exports.

Permissions and Access

Why can't I see some events? The feed only shows transactions from events you have permission to access. If you need to see more events, contact your organisation administrator about your permission level.

What permissions do I need to view the organisation feed? You need the Organisation Feed permission, which is separate from event-level feed access.

What can I do when I click on an order? The available actions depend on your permissions for that specific event - such as viewing details, processing refunds, editing notes, or resending confirmation emails.

Limitations

Can I perform bulk actions across multiple events? No. The organisation feed shows transactions from all events, but actions are taken on individual orders one at a time.

Why do times vary for different orders? Each transaction displays in its event's local timezone. If your events are in different locations, you may see different timezone formatting.
