Your Permissions: View Your Organisation Access Level
Overview
Your Permissions provides a complete breakdown of your access within the organisation. At its simplest, this view answers one question: What am I allowed to do in this organisation?
Who uses this: Any team member who needs to understand their access level.
Key capabilities:
- View your access level (administrator or team member)
- See how many permissions you have in total
- Browse permissions organised by category
- Understand which specific features you can access
- Learn what each permission allows you to do
This is an informational view only - you cannot change your own permissions here. Only organisation administrators can manage team permissions.
How It Works
At a glance: Navigate to your organisation, open Your Permissions, and review your access across all permission categories.
1. Access the view
Navigate to your organisation's dashboard and select "Permissions" from the admin menu under the Insights section. The view automatically displays permissions for whichever organisation you're currently viewing.
2. Review your access level
At the top, you'll see whether you're an Organisation Administrator (full access) or an Organisation Member (specific permissions granted).
3. Browse permission categories
Permissions are organised into four groups: Event, Organisation, Tour, and Order. Each group shows how many permissions you have out of the total available.
4. Check individual permissions
Each permission displays a clear status indicator showing whether you have access, along with an explanation of what that permission allows you to do.
Think of it this way:
- Your access level tells you how much trust you have
- Permission categories organise capabilities by area
- Individual permissions control specific actions you can take
Understanding Your Access Level
Organisation Administrator
If you see "Organisation Administrator" at the top:
What this means:
- You have complete unrestricted access to everything in this organisation
- All permissions are automatically granted to you
- You can access all events, financial data, and management tools
- No permission restrictions apply to your account
- You have the highest level of trust and access
What you can do:
- Manage all events and tours
- Access all financial features and banking
- Edit organisation settings and branding
- Manage team members and their permissions
- Export all data and reports
- Process refunds and manage payments
- Send communications to attendees
- Access all administrative tools
Organisation Member
If you see "Organisation Member" at the top:
What this means:
- You've been granted specific permissions for this organisation
- Your access is controlled by the roles assigned to you
- You can only access features you have explicit permission for
- The number shows how many of the available permissions you have
Example: "You have been granted 12 out of 45 available permissions for Theatre Company."
Permission Categories
Your permissions are organised into four main groups:
Event Permissions
Control what you can do with individual events:
- Find orders - Search for orders with attendee and ticket details
- Summary - View event metrics, sales figures, and statistics
- Banking & withdrawals - Manage event financials and withdrawals
- Feed - View activity log showing recent orders and refunds
- Balances - View current attendee balances
- Requests - View and manage ticket requests
- Scans - View ticket scan history
- Admit & redeem - Admit attendees and redeem tickets or merchandise
- Locks - Lock or unlock event tickets
- Blank ticket - Issue unassigned tickets
- Mail - Send emails to event attendees
- Edit - Full event editing rights
- Reporting - Access reports and export event data
- Event admin files - Access Dropbox files for events
- Schedule - View and manage event schedule, including rehearsals, performances, meetings, and attendance tracking
Organisation Permissions
Control what you can do at organisation level:
- Summary - View organisation dashboard and metrics
- Events - View all organisation events
- Attendees - Access attendee lists across all events
- Compare events - Compare performance between events
- Tours - Manage multi-event tours
- Statements - View and download attendee statements
- Members - Manage organisation members
- Edit - Full organisation editing rights
- Reporting - Access organisation-wide reports and data exports
- Mail - Send emails to organisation members
- Feed - View organisation activity log
- Organisation admin files - Access Dropbox files for the organisation
- Schedule - View and manage organisation-wide schedule across all events, including rehearsals, performances, meetings, and attendance tracking
Tour Permissions
Control what you can do with tours:
- Edit - Edit tour details and settings
- Events - View and manage tour events
- Summary - View tour statistics and performance
Order Permissions
Control what you can do with orders:
- View - View order details and ticket information
- Order as an admin - Book tickets without payment with admin options
- Cancel & refund - Process cancellations and refunds
- Balance payments - Manage and record balance payments
- Transfer ownership - Transfer orders to different users
- Admin notes - Edit administrative notes on orders
- Edit referrals - Modify referral information
- Resend email - Resend confirmation emails
- Resell - Mark tickets for resale
- Swap - Swap tickets between orders (grants limited order viewing)
- Ticket flags - Flag tickets for review or special handling
Reading Your Permission Status
Each permission shows clearly whether you have access:
Granted Permission (Green Tick)
If you see a green tick next to a permission:
- You have this permission
- You can access this feature
- This capability is available to you
- You're authorised to perform this action
Administrator badge: If you see an "ADMIN" badge next to a granted permission, you have it because you're an administrator (not because it was specifically assigned).
Denied Permission (Red Cross)
If you see a red cross next to a permission:
- You don't have this permission
- You cannot access this feature
- This capability is not available to you
- You're not authorised to perform this action
This doesn't mean you did something wrong - it simply means this permission hasn't been granted to your account.
Permission Group Summaries
At the top of each permission group, you'll see a summary:
"Event Permissions: 8/15"
This means:
- There are 15 total Event permissions available
- You have been granted 8 of them
- You don't have access to the other 7
The text below provides a quick summary:
- Full access: "You have access to all event features."
- Partial access: "You have access to 8 out of 15 event features."
- No access: "You don't have access to any event features."
This helps you quickly understand your access level in each category without reading every individual permission.
What This View Doesn't Show
The Your Permissions view is informational only:
You cannot:
- Change your own permissions
- Request new permissions directly
- See other users' permissions
- Manage team access or roles
- Grant permissions to others
You can only:
- View what permissions you currently have
- Understand what features you can access
- Identify what you're not authorised to do
Requesting Additional Permissions
If you need access to features you don't currently have permission for:
Internal Request Process
- Identify what you need: Note which specific permission you require
- Understand why: Be clear about why you need this access
- Contact your administrator: Reach out to an organisation administrator
- Explain your request: Describe what you need to do and why
- Wait for approval: Administrator will review and grant if appropriate
Who to contact: Organisation administrators can manage permissions. If you don't know who your administrators are, ask your manager or the person who invited you to the organisation.
Information to Provide
When requesting permissions, include:
- Which permission you need (use the exact name from this view)
- Why you need it (what task requires this access)
- How often you'll use it (daily, weekly, occasionally)
- Urgency (is this blocking current work?)
Example request: "I need the 'Resend email' permission under Order permissions because I regularly help customers who didn't receive their confirmation emails. I use this feature 5-10 times per week for customer support."
Common Permission Combinations
Understanding which permissions typically work together helps you identify what might be missing:
Box Office Role
Typically includes:
- Find orders
- Balances
- Admit & redeem
- Resend email
- Order view
If you have these but can't process refunds: You need "Cancel & refund" permission.
Marketing Role
Typically includes:
- Mail (Event and Organisation)
- Summary (Event and Organisation)
- Events
- Feed
- Attendees
If you can view events but can't email attendees: You need the "Mail" permission.
Finance Role
Typically includes:
- Banking & withdrawals
- Summary (Event and Organisation)
- Reporting (Event and Organisation)
- Statements
- Order view
If you can see summaries but can't withdraw funds: You need "Banking & withdrawals" permission.
Event Manager Role
Typically includes:
- Event edit
- Find orders
- Scans
- Admit & redeem
- Locks
- Summary
If you can view events but can't edit them: You need "Event edit" permission.
Permission vs Reality Check
Sometimes permissions don't match what you see in the interface:
"I have permission but don't see the feature"
Possible reasons:
- Feature is conditional: Some features only appear when certain settings are enabled (e.g., "Locks" only shows for seated events)
- Event-specific: You might have Event permissions but be viewing an Organisation page
- Browser cache: Try refreshing the page or clearing your browser cache
- Not logged out/in: Log out and log back in to refresh your permissions
"I can see a feature but don't have permission shown"
Possible reasons:
- Public features: Some features are available to all users (like viewing public event pages)
- Administrator access: Administrators bypass permission checks automatically
- Different organisation: Check you're viewing permissions for the correct organisation
"My permissions changed unexpectedly"
Possible reasons:
- Role updated: Your role's permissions may have been modified
- Role removed: You may have been unassigned from a role
- Administrator status changed: You may have been promoted or demoted
- Different organisation: You might be viewing a different organisation's permissions
Difference from Team Permissions
It's important to understand the distinction between these two permission-related sections:
Your Permissions (This Section)
Purpose: View YOUR OWN access level
What you see:
- Your personal permission grants
- Your access level (Administrator or Member)
- What YOU are authorised to do
- Read-only informational view
Who can access: Any team member can view their own permissions
What you can do: Only view, not modify
Team Permissions (Different Section)
Purpose: Manage OTHER USERS' access
What you see:
- All team members and their roles
- Role definitions and permissions
- Administrator assignments
- Full permission management interface
Who can access: Only organisation administrators
What you can do: Add users, create roles, assign permissions, remove access
Where to find it: Organisation Editor → Permissions section (administrator access required)
Key difference: Team Permissions is where administrators manage everyone's access. Your Permissions is where you view your own access.
Common Questions
Managing Permissions
Can I change my own permissions?
No. Only organisation administrators can manage permissions. This ensures proper access control and prevents users from granting themselves unauthorised access.
Why don't I have all permissions?
Organisations use permission controls to protect sensitive financial data, prevent accidental changes to events, maintain security and accountability, and ensure appropriate access for each role. You're granted the permissions you need for your specific responsibilities.
What if I need temporary permission for a specific task?
Contact your organisation administrator and explain what you need to do, how long you'll need access, and why you need it. They can grant temporary access and remove it when the task is complete.
Understanding Access
Can I see other users' permissions?
No. This view only shows your own permissions. Organisation administrators can view all users' permissions through the Team Permissions management section.
Do permissions apply to all events?
Yes. Organisation-level permissions apply across all events within that organisation. Event permissions grant access to event-specific features for all events you can access.
Can I have different permissions in different organisations?
Yes. If you're a member of multiple organisations, each organisation's administrators control your permissions independently. Your Permissions view shows only the organisation you're currently viewing.
Updates and Badges
How often are permissions updated?
Permissions update in real-time when administrators make changes. However, you may need to log out and log back in to see permission changes reflected in the interface.
Why do I see "ADMIN" badges on some permissions?
The "ADMIN" badge indicates you have this permission because you're an organisation administrator (which grants all permissions automatically), not because it was specifically assigned to you through a role.
Privacy and Security
Your Permission Information
Your permission details are:
- Private: Other team members cannot see your permissions
- Secure: Only you and administrators can view your access level
- Accurate: Updated in real-time when changes are made
- Organisation-specific: Each organisation controls your access independently
Audit Trail
When administrators make permission changes:
- Changes may be logged for security
- Your access history may be reviewed if issues occur
- This helps maintain accountability and security
Responsible Use
Use your permissions appropriately:
- Only access data relevant to your role
- Don't share your login credentials
