Organisation Attendees: Customer Database Across Events
Overview
The Attendees section shows every unique customer who has placed an order with your organisation, regardless of which event they attended. This gives you a complete view of your customer base for marketing, customer service, and audience analysis.
At its simplest, Organisation Attendees answers one question: Who are all the customers who have ever bought tickets from my organisation?
Who uses this: Organisation administrators with the Attendees permission.
Key capabilities:
- View all customers across every event in one list
- Filter by marketing preferences to find your addressable audience
- Search by name or email to locate specific customers
- View complete order history for any customer
- Manage marketing permissions for data protection compliance
How It Works
At a glance: Find your customer, view their history, and manage their preferences.
1. Browse your customer list
The Attendees section displays all customers who have ever placed an order. Each row shows the customer's name, email, marketing status, and total order count. A member icon appears next to customers who are registered members of your organisation.
2. Filter and search
Narrow down the list using the filter buttons (All or Email Marketing Only) or the search field. Search matches against both name and email address, and is case-insensitive.
3. View customer details
Click any customer row to open their detailed overview. This shows their complete order history across all your events, membership status (if applicable), and marketing preferences.
4. Take action
From the customer overview, you can view individual orders, manage membership settings, or remove marketing permission if the customer requests it.
Think of it this way:
- Organisation Attendees shows your complete customer base across all events
- Event Attendees shows only customers for a specific event
- Both use the same customer data, just filtered differently
Browsing the Attendee List
For each customer in the list, you'll see:
- Member indicator: Icon showing if the customer is a registered member of your organisation
- Attendee name: The customer's name from their orders or user account
- Email address: The customer's email (unique identifier across all orders)
- Marketing status: Shows whether the customer has approved email marketing
- Marketing Approved: Customer has opted in to receive promotional emails
- No Email Marketing: Customer has not granted marketing permission
- Order count: Total number of orders this customer has placed across all your events
Filtering and Searching
Filter buttons:
- All: Shows every customer who has purchased tickets from your organisation
- Email Marketing Only: Shows only customers who have granted permission to receive marketing emails
Note: The Email Marketing Only filter is useful when planning email campaigns, as it shows your addressable marketing audience.
Search field:
Enter a search term and press Enter or click the search icon. The list updates to show only customers whose name or email matches your search.
Search tips:
- Search by partial email address (e.g., "@gmail.com" to find all Gmail users)
- Search by first or last name
- Search is case-insensitive
- Clear the search field and press Enter to show all customers again
Viewing Customer Details
Click any customer row to open their detailed overview, which shows:
Customer information:
- Full name and email address
- User account status (whether they have a Seaty account)
- Member type (if they're a member of your organisation)
Order history:
- Complete list of all orders placed across every event
- Number of tickets per order
- Click any order to view full details including payment status, tickets, and refunds
Membership details (when memberships are enabled):
- Current member type
- Membership status
Marketing permissions:
- Whether marketing approval has been granted
- Option to remove marketing permission if needed
Managing Marketing Permissions
When viewing a customer's details, you can manage their marketing preferences.
Remove marketing permission:
If a customer has requested to be removed from marketing communications, click Remove marketing permission in their overview. This removes their opt-in status from all orders where they approved marketing.
Note: Customers control their own marketing preferences during checkout. Use this feature only when a customer explicitly requests removal from marketing communications.
Understanding Your Audience
The Attendees section helps you identify patterns in your customer base:
Repeat customers: Review the order count column to identify loyal customers who regularly attend your events.
Marketing audience size: Use the Email Marketing Only filter to see how many customers you can reach with promotional campaigns.
Member distribution: Compare customers with member icons against non-members to understand membership programme effectiveness.
Customer growth: The total customer count shows your cumulative audience size across all events.
Common Questions
Filtering and searching
Can I filter by member status? There's no dedicated filter button for members, but you can visually identify members by the member icon next to their name in the list.
Does search work with partial matches? Yes. You can search for part of a name or email address. For example, searching "@gmail.com" finds all customers with Gmail addresses.
Marketing permissions
Can I add marketing permission for a customer? No. Marketing permission must be granted by the customer during checkout. You can only remove permission, not add it.
What happens when I remove marketing permission? The customer will no longer appear when you filter by Email Marketing Only, and they won't receive marketing emails sent through the platform.
Organisation vs event attendees
What's the difference between organisation and event attendees? Organisation attendees show all customers across every event you've ever run. Event attendees show only customers for one specific event. Both show the same customer data, just filtered differently.
Which should I use for email campaigns? For organisation-wide announcements, use organisation attendees. For event-specific communications (like show updates), use event attendees.
Data and exports
Can I export the attendee list? Yes. Navigate to Reporting & Data from the organisation menu, select the appropriate report type, and download a spreadsheet with full customer details.
Why does a customer appear multiple times? Each customer appears only once in the organisation attendees list. The order count shows how many separate orders they've placed. If you're seeing duplicates, it may be because the customer used different email addresses for different orders.
