The event feed and attendee details help you monitor event activity and manage customer information. View orders, payments, and refunds in real-time, then tap any item to see full details or contact attendees directly.

At its simplest, this feature answers one question: What's happening with my event and who's attending?

Who uses this: Box office staff, door managers, and event administrators with EventFeed or OrderView permissions.

  • View all event activity in real-time (orders, payments, refunds, requests)
  • Search and filter to find specific attendees or transactions
  • Access detailed attendee profiles with financial summaries
  • Contact attendees directly via email
  • Track member quotas and referral progress

How It Works

At a glance: Open the event feed to see all activity, then tap any item to drill into details or contact attendees.

1. Open the event feed

From your event details screen, tap Feed to see all recent activity. Orders, payments, refunds, and requests appear in chronological order with colour-coded icons.

2. Find what you need

Use category filters (swipe horizontally) to narrow by type, or search by attendee name or email. Results update as you type.

3. View details and take action

Tap any feed item to see full information. From there, view ticket details, payment history, or contact the attendee directly.

Think of it this way:

  • The Feed is your live activity stream showing everything happening with your event
  • Attendee Details gives you the complete picture for a single customer
  • Member Summary tracks quota progress for organisation members

Event Feed

The event feed shows all event activity in chronological order: orders, payments, refunds, and requests. Most recent items appear first.

Requirements:

  • EventFeed permission
  • Internet connection (not available offline)

What the Feed Shows

Each feed item displays:

  • Activity type - Admin Order, Online Order, Payment, Refund, Cancellation, or Request
  • Colour-coded icon - Blue (orders), green (payments), red (refunds/cancellations), yellow (pending requests)
  • Amount - Revenue or refund value in event currency
  • Attendee - Customer name and email
  • Date/Time - When activity occurred in event's time zone
  • Tags - Additional context like order number or balance

Loading behaviour:

  • First 50 items load initially
  • Scroll to bottom loads more automatically
  • Pull down to refresh latest activity

Filtering the Feed

Category filters (swipe horizontally at top):

  • All, Order, Payment, Refund, Cancellation
  • Admin Order, Online Order, Accepted Request
  • Pending Request, Refused Request

Feed refreshes automatically when you switch categories.

Searching the Feed

Search by attendee name or email. Results update as you type.

Tip: Combine category filter and search together. For example, filter to "Payments" then search for a customer name to find their specific transaction quickly.

Tapping Feed Items

Tap any item to view full details:

  • Orders - View tickets, payments, custom questions, order history
  • Payments/Refunds - See transaction details, payment method, status
  • Requests - Review request details, approve/refuse (if administrator)
  • Cancellations - View cancellation reason and cancelled tickets

Individual Attendee Details

View comprehensive information about specific attendees, including their orders, payments, and outstanding balances.

How to Access

  1. Search for attendee in feed
  2. Tap their feed item to view order
  3. Navigate to attendee details from order screen

Requirements: OrderView permission (users can always view their own information without special permissions)

What You See

Attendee profile:

  • Full name, email address
  • Current event and organisation name

Financial summary:

  • Balance owed (red) or overpaid (orange) with specific amount
  • Fully paid status (green)

Orders (collapsible):

  • Total value of all orders
  • Individual orders with ticket counts, prices, dates
  • Online vs admin order indicators
  • Ticket type tags

Payments (collapsible):

  • Total payments received
  • Individual transactions and refunds
  • Payment dates and amounts
  • Colour-coded indicators

Tap any order or payment to view full details, ticket lists, and transaction information.

Contacting Attendees

Tap Email [Attendee Name] button to open your device email app with the recipient address pre-filled.

Common uses:

  • Follow up on unpaid balances
  • Answer ticket queries
  • Confirm special requests
  • Provide event information

Member Summary

For attendees who are organisation members, view detailed quota tracking and sales progress.

What Members See

Membership badge:

  • Member type and quota allocation

Ticket statistics:

  • Tickets directly linked to member account
  • Tickets referred by this member
  • Progress towards quota target

Visual progress bar (when quota exists):

  • Red (under 50%), orange (50-99%), green (100%+)

Payment status:

  • Fully paid (green), balance owed (red), or overpaid (orange)

Progress messages:

  • "That's X/Y, only Z to go" when under quota
  • "Congratulations on meeting your quota" when complete

Note: Not all memberships have quotas. Display adapts to membership configuration.

  • School shows: Parents track their quota and tickets sold to friends
  • Theatre subscriptions: Members track purchases without quota pressure
  • Fundraising events: Volunteers see referral tracking and quota progress

Common Workflows

Box Office Query

  1. Customer asks question at box office
  2. Search feed by name or email
  3. View their orders and payments
  4. Resolve issue with full context
  5. Email attendee if needed

Following Up on Unpaid Balances

  1. View event feed
  2. Identify orders with outstanding balances
  3. Tap order to view attendee details
  4. Use email button to contact attendee
  5. Track payment when received

Pre-Event Preparation

  1. Filter feed to pending requests
  2. Review and approve waiting customers
  3. Monitor payment receipts
  4. Contact attendees with outstanding balances

During Event

  1. Watch for last-minute online orders
  2. Check for refund requests
  3. Respond to urgent queries

Post-Event Analysis

  1. Review total transactions
  2. Filter to refunds and cancellations
  3. Identify issues requiring follow-up
  4. Export detailed reports via web dashboard

Offline Mode

The event feed and attendee details require internet connection.

Why? Data constantly updates with new orders, payments, and refunds. Current financial information and search functionality require full database access.

Plan box office and customer service activities when internet is available.


Common Questions

Using the Feed

Can I see the feed offline? No. The feed requires an internet connection because data constantly updates with new orders, payments, and refunds.

How far back does the feed go? The feed shows all activity for your event. It loads 50 items initially, then loads more automatically as you scroll down.

Why do dates show different times than I expected? All dates display in your event's local time zone. If you created the event in a different time zone, times will reflect that setting.

Attendee Information

Can I see attendee details for anyone? You need OrderView permission to see other attendees' information. Users can always view their own information without special permissions.

What do the balance colours mean? Red indicates the attendee owes money, orange means they've overpaid, and green shows they're fully paid.

Can I email attendees from the app? Yes. Tap the Email [Attendee Name] button to open your device's email app with the recipient address pre-filled.

Member Quotas

What if a member doesn't have a quota? Not all memberships have quotas. The display adapts automatically - members without quotas simply see their ticket purchases and referrals without progress tracking.

What do the progress bar colours mean? Red means under 50% of quota, orange is 50-99%, and green indicates the member has met or exceeded their quota.
